Location:  Falls Church, VA (Heart Rhythm Center)

Status:  Full-Time / Non-Exempt

Salary Range:  $21.00 - $25.00

RESPONSIBILITIES:

  • Verifies insurance coverage and if a second opinion is required Depo email to department.
  • Schedules and coordinates patients’ surgeries and diagnostic studies per physician’s order/procedure board. 
  • Schedules surgery, diagnostic tests, or study with operating room or facilityCheck OR Board and or Surgery Status Board. 
  • Utilizing multiple systems, manages applications to schedule procedures and link the appropriate orders.
  • Pre-certifies surgery or study if indicated. Obtains orders from physician for lab tests and orders. 
  • Coordinates procedures with other resources to schedule surgical procedures at multiple hospitals that require sedation or general anesthesia.
  • Instructs patients in pre-admission registration, surgical date, post-surgical care by emailing instructions, creating letters, and scheduling follow-up appointments. 
  • Implements, manages and analyzes our EMR system to schedule various procedures in a manner that will effectively utilize our EP providers’ schedules.
  • Distributes the daily schedule, process the appointment data elements, and update MyChart.
  • Ensures operating room or facility is prepared for surgery, tests, or study; has necessary paperwork and special equipment for surgery if requested by physician(For Virginia Hospital Center only, provide CV OR backup packet).
  • Analyzes data integrity, produce documentation for pre-authorizations, referrals, and reports for any scheduling system changes or updates. 
  • Revises and makes modifications to scheduled procedures and all additions or cancellations submitted.  Communicate effectively to all appropriate parties in a timely manner.
  • Keeps patients, physicians and facilities informed of any scheduling changes.  Communicate between the hospital doctor, clinical, financial staff, and doctor of the day if needed. 
  • Checks insurance eligibility and track and monitor prior authorization for appointment resolution. 
  • Analyze generated reports and correspondence to identify any variances for corrective action as appropriate.
  • Assists physician in coding of procedures using CPT codes for all cases. 
  • Performs other duties as assigned. 

REQUIREMENTS:

  • High School Diploma or equivalent required
  • Minimum one year of experience in a customer service-related field preferably in a fast-paced environment.
  • Strong computer and typing skills to include MS Excel is required
  • Medical receptionist or scheduler in a multi-provider office or hospital scheduler preferred. 
  • Bilingual (English/Spanish) a plus
  • Strong communication skills and pleasant phone manner
