We are looking for a Medical Records Specialist to join our team in our outpatient cardiology setting. RESPONSIBILITIES:
- Prepares charts for upcoming appointments at least one week in advance.
- Process includes printing schedules, reviewing electronic records for missing information, printing notes, reports, and other records per protocol.
- Orders medical records from external health care facilities as required.
- Organizes and prepares printed schedules, records, and forms for delivery to clinical staff.
- Cross trains with the Patient Services Specialist role and work in the PSS capacity once a month. Uses EPIC proficiently to perform these and other tasks.
- Processes incoming/outgoing requests for medical records from multiple parties including patients, physicians, hospitals, insurance companies, employers, and others; then forwards these requests to the HIM (Health Information Management) Department for completion of requests.
- Obtains proper written authorization from patients when required.
- Responds to urgent requests quickly and appropriately.
- Routes qualifying requests to Patient Accounts Department for billing.
- Provides exceptional customer service to all internal and external customers.
- Exhibits empathy and compassion and maintains a professional and positive attitude with customers and fellow employees.
- Resolve routine problems and concerns.
- Communicate with patients and physicians in a courteous and professional manner.
- Responds promptly to inquiries and requests by phone, email, and in-person with a friendly attitude.
- Fills in and assists front desk staff as needed.
- Records data and activity in various logs as outlined in department protocol.
- Enter information regarding workflow status and progress in multiple areas throughout the day as required.
- Reports errors and misguided communications for immediate resolution.
- Portrays a positive attitude and adapts easily to change.
- Works well with others and supports co-workers in a "team" environment.
- Builds rapport with internal and external customers.
- Uses proper etiquette in all modes of communication (phone, email, and face-to-face).
- Must be able to organize and process tasks based on priority/time constraints.
- Should possess the ability to multi-task.
- Proactively moves from one task to another without direction from leads and/or management. Works independently and relies on self-motivation to achieve individual/departmental goals.

REQUIREMENTS:
- High School Diploma or equivalent required
- Minimum one year of experience in Medical Records or related field
- Medical office or hospital experience preferred.
- Prior working knowledge of Microsoft Word, Excel, and Outlook (email).
- Experience with the use of an Electronic Medical Record (EMR) preferred .
